TriNetX Re-ID Requests
As part of NC TraCS IDSci's Self-Service Plus service line, researchers can request an identified patient set based on a query created in TriNetX (aka TriNetX Re-ID). Researchers can then use this patient set to conduct chart reviews on the cohort. TraCS performs necessary regulatory checks but does not evaluate the quality of your query. Available variables in this service line include: MRNs, date of birth, current age, sex, race, and ethnicity for your cohort. An approved IRB covering the use of identified patient data is required, as is a CDW-H data request.
Once your query is refined, follow the instructions below to obtain your data.
TraCS will begin assessing a fee for all re-ID requests received on or after October 20, 2025. A TriNetX re-ID request will take approximately 2-4 hours of staff time to complete. If requesting re-ID of several queries in one request, additional effort may be required. CDW-H rates will apply. For current rates, visit tracs.unc.edu/rates. Steps to Request TriNetX Re-ID Data
- Fully develop and refine the queries you intend to use for re-ID. Ensure your cohort size is fewer than 2,500 patients. Re-IDs for large cohorts are not permitted. Complete the Re-ID Data Request Checklist. Completion of the checklist is a critical and required step in ensuring compliance with regulatory and privacy policies.

- CDW-H Intake and Access
a. During intake, a CDW-H project manager will reach out and provide you access to the CDW-H Re-ID Study within the TriNetX platform. This is how you will be able to share the query with the TraCS team. - Upload your finalized query
a. Once access to the current Re-ID study is granted:
I. Ensure the required naming convention follows "Onyen_IRB#_PILastName_Query#". This should match the query listed on the CDW-H data request form.
II. Locate the CDW-H Re-ID Study, click the "Studies" menu on the top bar, and select "Shared with me". If the Re-ID study is not on your list, please contact a CDW-H Project Manager for access.
III. Once in the CDW-H Re-ID Study, click "+ New Query" in the top right corner. It is important to not edit or rename existing queries in this study. Doing so may result in loss of access to the re-ID folder.
IV. Click "Import Query" under the inclusion/exclusion tables and select the study where your query was created. Find your finalized query and click "Import". - When all steps have been completed, the request will be subject to the normal CDW-H approvals.
